1. Who We Are
HoloDex is a trading card collection management platform that helps users scan, identify, organize, value, track, and share trading card collections.

2. Information We Collect
We collect different types of information depending on how you use HoloDex.

2.2 Profile and Social Information
If you use social or community features, we may collect and process:
- Username, display name, profile photo or avatar, bio or profile description
- Public collection details, public wishlist items, shared cards, shared screenshots
- Followers and following lists
- Likes, reactions, comments, replies, or other interactions
- Mentions, tags, or community activity
- Public posts or collection showcases
- Reports submitted by or about you
- Blocked users and blocking activity
- Moderation decisions related to your account or content
Some of this information may be visible to other users depending on your settings and the features you use.
2.3 Collection and Card Data
When you use HoloDex to manage your collection, we may collect:
- Cards added to your collection or wishlist
- Quantity of cards owned
- Card variants, languages, conditions, grading status, and related details
- Estimated card values and portfolio values
- Collection analytics and set completion progress
- Price history and tracking data
- Notes or metadata you add to cards
- Shared collection pages or public collection settings
2.4 Camera, Scanning, and Image Data
When you use the card scanning feature, we may process:
- Images captured or uploaded for card scanning
- Card scan results and image quality data
- Card recognition data and AI identification results
- Correction data when a scan result is changed or manually corrected
- Device camera permissions, where required by your device
Camera access is used to provide card scanning functionality. We do not access your camera unless you grant permission through your device settings.
2.5 AI Grading and AI Feature Data
If you use AI-assisted features, including AI grading or condition analysis, we may process:
- Front and back card images
- AI grading results and condition analysis
- Subgrade or category scores
- Image quality indicators
- User corrections or feedback
- Processing logs and AI output history
AI results are estimates and may not always be accurate. We may use AI feature data to improve our systems, quality, and user experience.
2.6 Payment and Subscription Information
If you purchase a subscription or paid feature, payment may be processed by third-party platforms or payment providers such as Apple, Google, RevenueCat, Stripe, or other supported services. We may receive and process subscription status, product purchased, purchase and renewal dates, trial status, cancellation status, and related identifiers. We do not directly store full credit card numbers when payments are processed by third-party payment providers.
2.7 Device, Usage, and Technical Data
When you use HoloDex, we may automatically collect IP address, device type, operating system, app version, browser type, device identifiers, language settings, country or region, time zone, log files, crash reports, performance data, feature usage, screens viewed, buttons clicked, session duration, in-app events, referral source, attribution data, and diagnostic data. This helps us operate, secure, analyze, and improve HoloDex.
2.8 Communications With Us
If you contact us by email, support chat, social media, forms, or other channels, we may collect your name, email address, message content, screenshots or attachments you provide, account details needed to help you, support history, and technical details related to your issue.
2.9 Giveaway and Promotion Information
If you participate in a giveaway, contest, sweepstakes, or promotion, we may collect full name, email address, country of residence, shipping address (if you win a physical prize), eligibility information, and promotion entry details.
3. How We Collect Information
We collect information when you create an account, log in, scan cards, upload images, add cards to your collection or wishlist, use AI features, use social or community features, follow users or interact with content, post, comment, like, report, or block users, purchase or manage a subscription, contact support, participate in promotions or giveaways, and through cookies, SDKs, analytics tools, attribution tools, and similar technologies.
4. How We Use Your Information
We use your information to provide, maintain, improve, secure, and personalize HoloDex. This includes creating and managing user accounts, authenticating users, providing card scanning features, identifying trading cards, managing cards in your collection, displaying estimated prices and portfolio values, providing AI grading and AI-assisted features, enabling social profiles and community features, processing subscriptions and in-app purchases, providing customer support, troubleshooting bugs, analyzing app performance, improving scan accuracy and AI systems, preventing fraud and abuse, moderating content, personalizing your experience, sending important service messages, running promotions, and complying with legal obligations.
5. Public Information and Social Features
HoloDex may include social and community features. Depending on your settings and the features you use, certain information may be visible to other users including username, display name, profile photo, bio, public cards and collection details, followers and following, likes, comments, and community activity. You are responsible for what you choose to make public.
6. User-Generated Content
When you upload, post, share, or submit content to HoloDex, we may process that content to operate the Service. We may review, moderate, remove, restrict, or preserve user-generated content if we believe it violates our Terms, community rules, legal requirements, or the safety of our users or Service.
7. Reports, Blocking, and Moderation
If you report another user, block another user, or are reported by another user, we may process information related to that report or action to enforce our Terms, protect users, prevent abuse, and comply with applicable laws.
8. Push Notifications and Communications
We may send you push notifications, in-app messages, or emails related to account activity, security alerts, subscription updates, card scanning or AI grading results, new followers, community activity, app updates, new features, giveaways or promotions, support messages, and marketing communications where allowed. You can manage push notification permissions in your device settings.
9. Cookies, SDKs, and Tracking Technologies
HoloDex may use cookies, software development kits, pixels, local storage, and similar technologies to operate and improve the Service. These technologies may be used for login and authentication, security, app functionality, remembering preferences, analytics, crash reporting, performance monitoring, attribution, advertising measurement, fraud prevention, and personalization.
10. Legal Bases for Processing
If you are located in the European Economic Area, United Kingdom, or another region with similar privacy laws, we rely on contract (to provide the Service), consent (for certain activities), legitimate interests (improving HoloDex, preventing fraud), legal obligations, and protection of rights and safety.
11. How We Share Information
We do not sell your personal information. We may share information with service providers who help us operate HoloDex, app stores and payment providers, other users (if you use social features), for legal and safety reasons, in connection with business transfers, and with your consent.
12. Third-Party Services
HoloDex may include links, integrations, APIs, analytics tools, payment providers, authentication tools, advertising tools, price data providers, marketplaces, or other third-party services. We are not responsible for the privacy practices of third-party services.

HoloDex operates globally. Your information may be processed in countries other than the country where you live, including the United Arab Emirates, the United States, the European Union, and other locations where we or our service providers operate.
14. Data Retention
We retain personal information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, enforce our Terms, prevent fraud, maintain security, and improve HoloDex.
15. Account Deletion and Data Deletion
You may delete your account through the app where available or by contacting us at contact@getholodex.com. When you request account deletion, we will begin processing your request within a reasonable period. Some data may remain in backups for a limited period or be retained where legally permitted.
16. Your Privacy Rights

19. Security
We use reasonable technical, organizational, and administrative measures to protect personal information including encryption, access controls, secure authentication, server-side protections, monitoring and logging, backups, and security reviews. However, no system is completely secure.
20. Automated Processing and Personalization
We may use automated systems to identify cards, estimate card condition, generate AI grading results, recommend features, personalize the app experience, detect fraud or abuse, moderate spam, improve scan accuracy, and analyze usage trends. Automated systems may make mistakes.
21. Marketing and Advertising
We may use your information to send marketing communications, measure campaigns, improve advertising performance, and understand how users discover HoloDex. You can opt out of marketing emails using the unsubscribe option or by contacting us.
22. Data Accuracy
